A good rent reminder message template saves you time and gets you paid faster. Most tenants who pay late are not trying to avoid rent. They forgot, got paid late, or are waiting on someone else. A short, clear and polite message at the right time fixes most of these cases.

Below are ready-to-use SMS and WhatsApp templates in English and Kiswahili for every stage, from a friendly early nudge to a final notice. Copy them, change the details in brackets, and send.

What makes a rent reminder work

The messages that get paid have a few things in common:

An open rent ledger with each payment ticked
  • Short. The tenant should understand it in a few seconds.
  • Clear amount and date. Write the exact amount, for example KES 15,750, and the exact due date.
  • How to pay. Include the Paybill or till number and the account reference, such as the house number. Remove every excuse to delay.
  • Who it is from. Sign with your name or agency name so it does not look like a scam.
  • Polite but firm. Start friendly. Get firmer only as the delay grows.
  • A way to talk. Give a phone number. A tenant who calls you is far easier to deal with than one who goes silent.

When to send each message

A simple schedule keeps you consistent. Treat every tenant the same so no one feels singled out.

When Message Tone
3 to 5 days before due date Early reminder Friendly
On the due date Due today Friendly
2 to 3 days late Gentle late reminder Polite
7 to 10 days late Firm arrears reminder Firm
14 days or more late Final notice Formal
As soon as money arrives Receipt and thank you Warm

Adjust the days to match the due date and grace period (extra days allowed before rent counts as late) in your tenancy agreement.

Rent reminder message templates in English and Kiswahili

Replace everything in [brackets]. Keep the house number as the account reference so payments are easy to match.

A calendar with one day marked, and a clock

1. Early reminder (3 to 5 days before)

English:

Hi [Name], a friendly reminder that [month] rent of KES [amount] for house [no.] is due on [date]. Pay via Paybill [no.], Account [house no.]. Thank you. - [Your name/agency]

Kiswahili:

Asante. - [Jina lako/wakala]

2. Due today

English:

Hi [Name], your rent of KES [amount] for house [no.] is due today, [date]. Paybill [no.], Account [house no.]. Already paid? Please ignore this message. Thank you.

Kiswahili:

Habari [Jina], kodi yako ya KES [kiasi] kwa nyumba [namba] inatakiwa kulipwa leo, [tarehe]. Paybill [namba], Akaunti [namba ya nyumba]. Kama umeshalipa, tafadhali puuza ujumbe huu. Asante.

3. Gentle late reminder (2 to 3 days late)

English:

Hi [Name], we have not yet received your [month] rent of KES [amount], which was due on [date]. Please pay by [new date], or call us on [phone] if there is a problem. Thank you.

Kiswahili:

Asante.

4. Firm arrears reminder (7 to 10 days late)

Arrears means rent that is overdue and unpaid.

English:

Dear [Name], rent for house [no.] is now [X] days late. Balance due: KES [amount]. Please pay in full by [date] or call [phone] today to agree a payment plan. As per your tenancy agreement, a late fee of KES [fee] may apply.

Kiswahili:

Only mention a late fee if it is written in the signed tenancy agreement. If it is not, delete that last sentence.

5. Final notice (14 days or more late)

English:

Dear [Name], this is a final reminder. Rent arrears for house [no.] are KES [amount] for [month/s]. If we do not receive payment or hear from you by [date], we will take the next steps set out in your tenancy agreement. Please call [phone].

Kiswahili:

Tafadhali piga [simu].

A text message is a reminder, not a formal legal notice. If you plan to end a tenancy or recover arrears, get advice from a lawyer or your agent on the correct written notice first.

6. Payment received and thank you

This one is often skipped, but it matters. A quick receipt builds trust and reduces disputes later.

English:

Hi [Name], we have received KES [amount] for house [no.] on [date]. Ref: [M-Pesa code]. Balance: KES [balance]. Thank you for paying on time!

Kiswahili:

Habari [Jina], tumepokea KES [kiasi] kwa nyumba [namba] tarehe [tarehe]. Nambari ya muamala: [code ya M-Pesa]. Salio: KES [salio]. Asante kwa kulipa kwa wakati!

7. Part payment received

English:

Hi [Name], thank you for paying KES [amount paid]. Your remaining balance for [month] is KES [balance]. Please clear it by [date]. Call [phone] if you need to discuss.

Kiswahili:

Habari [Jina], asante kwa kulipa KES [kiasi kilicholipwa]. Salio lililobaki kwa [mwezi] ni KES [salio]. Tafadhali lilipe kufikia [tarehe]. Piga [simu] kama unahitaji kuzungumza.

8. Payment plan confirmation (WhatsApp)

When you agree a plan on the phone, confirm it in writing straight away. WhatsApp suits this because the message can be longer.

English:

Hi [Name], thank you for speaking with us today. As agreed, you will clear arrears of KES [total] for house [no.] as follows:

  • KES [amount] by [date]
  • KES [amount] by [date] Your normal rent of KES [rent] is still due on [date] each month. Please reply "Agreed" to confirm. - [Your name/agency]

Kiswahili:

Tafadhali jibu "Nimekubali" kuthibitisha. - [Jina lako/wakala]

SMS or WhatsApp: which should you use?

Use both, for different jobs.

SMS WhatsApp
Reaches basic phones Yes No
Works without data Yes No
Shows if message was read No Yes, if read receipts are on
Good for long messages or statements No Yes
Good for quick reminders Yes Yes

Tips:

  • Keep SMS short. A standard SMS holds about 160 characters. Longer texts split into several messages and may cost more. Kiswahili versions are often longer, so trim where you can.
  • Ask tenants which they prefer when they move in, and note it in your records.
  • Use WhatsApp for detail. Send statements, payment plans and photos of receipts there.

Do's and don'ts

Do:

  • Send reminders during normal hours, roughly morning to early evening.
  • Message each tenant privately.
  • Keep a record of every reminder and reply. It helps if there is a dispute.
  • Stay calm, even if the tenant is rude.
  • Offer a call. Many arrears are solved with a five-minute conversation.

Don't:

  • Name or shame late payers in a building WhatsApp group.
  • Threaten to lock the door, cut water or power, or remove belongings. These actions can be against the law.
  • Send messages late at night or many times a day.
  • Mention fees or penalties that are not in the tenancy agreement.
  • Share a tenant's arrears with other tenants or neighbours.

Save time by automating reminders

Sending these messages by hand works for a few units. Once you manage many tenants, it eats hours every month, and it is easy to miss someone or send the wrong amount.

Property management software can match M-Pesa payments to each house, track balances and send reminders and receipts on a schedule. That way every tenant gets the right message at the right time, and you only step in when someone needs a call.

Questions people ask

When should I send a rent reminder to a tenant?

Send a friendly reminder 3 to 5 days before rent is due and another on the due date. If rent is late, follow up after 2 to 3 days, again after about a week, and send a final reminder after two weeks or more.

How do I write a polite rent reminder in Kiswahili?

Keep it short and include the amount, due date and how to pay. Asante."

Is a WhatsApp or SMS rent reminder a legal notice?

No. A text message is a reminder only. If you want to end a tenancy or recover arrears formally, get advice from a lawyer or your agent on the correct written notice.

Can I add a late fee to my rent reminder?

Only mention a late fee if it is written in the signed tenancy agreement. If it is not in the agreement, leave it out of your messages.

Should I use SMS or WhatsApp for rent reminders?

Use SMS for short reminders because it reaches every phone, even without data. Use WhatsApp for longer messages like statements and payment plans.

Can I remind tenants about rent in a building WhatsApp group?

A general reminder that rent is due is fine, but never name late payers or share anyone's balance in a group. Always message tenants about their own arrears privately.
