How to issue rent receipts automatically: a rent receipt template for Kenya
A simple rent receipt template for Kenyan landlords, what every receipt must show, and how automatic SMS receipts work once rent comes in through an M-Pesa Paybill.

A tenant sends rent on M-Pesa, then calls an hour later asking for a receipt. You dig out the receipt book, write it by hand, take a photo and send it on WhatsApp. Multiply that by 30 units and month-end becomes a part-time job.
This guide gives you a rent receipt template for Kenya that you can use today, then shows how automatic receipts work so you can stop writing them yourself.
Why receipts matter more than the M-Pesa message
The M-Pesa confirmation tells a tenant that money left their phone. It does not tell them:

- which month the payment covers
- which unit it was applied to
- whether anything is still owed
- that the landlord has actually recorded it
A receipt is the landlord's written confirmation that the payment was received and counted. It settles arguments before they start. When a tenant says "I paid in March", you both look at the same document.
Receipts also protect you. If a tenancy ends badly and the matter goes to a tribunal or court, a clean set of numbered receipts shows exactly what was paid and when.
What every rent receipt should show
Keep it short, but never leave out these items:

- Receipt number - one running sequence, never repeated.
- Date issued - the day you recorded the payment.
- Landlord or agency name and a phone number.
- Tenant name and unit (for example "Block B, Unit 4").
- Amount received in figures, such as KES 15,750.
- Payment method and reference - the M-Pesa code or bank reference.
- What it was for - rent, deposit, water, service charge, or a mix.
- Period covered - "Rent for November 2026".
- Balance after this payment - zero, arrears, or credit carried forward.
- Issued by - the person or system that recorded it.

The balance line is the one most landlords skip, and it is the one that prevents most disputes. A tenant who sees "Balance: KES 2,000 owed" knows exactly where they stand.
Rent receipt template Kenya landlords can copy
Copy this into a document, spreadsheet or receipt book layout. Replace the example details with your own.
| Field | Example |
|---|---|
| Receipt no. | RCT-0412 |
| Date | 3 November 2026 |
| Received from | Jane Wanjiru |
| Property and unit | Green View, Unit 12 |
| Amount received | KES 15,750 |
| Paid by | M-Pesa Paybill, ref QK83XXXXXX |
| Payment for | Rent, November 2026 |
| Amount due this period | KES 15,750 |
| Balance after payment | KES 0 |
| Issued by | Green View Management |

A few rules to keep it clean:
- One receipt per payment. If a tenant pays in two parts, issue two receipts, each showing the new balance.
- Never edit an issued receipt. If you made a mistake, cancel it with a note and issue a new one with the next number.
- Keep a copy of every receipt. A duplicate book, a spreadsheet tab or a folder of PDFs.
- Split mixed payments. For example, if KES 18,000 covers KES 15,750 rent and KES 2,250 water, show both lines.
The problem with doing it by hand
A paper or spreadsheet template works for a few units. It breaks down when:
- payments arrive at night and on Sundays, when nobody is writing receipts
- a caretaker collects cash and forgets to record it
- tenants pay with Send Money, so you have to guess who paid
- you are working out balances in your head, and get one wrong
Each of these means a tenant waiting, a phone call, or a wrong arrears figure. The fix is to let the payment itself trigger the receipt.
How automatic SMS rent receipts work
Automatic receipts depend on one thing: knowing who paid without a person checking. That comes from collecting rent through an M-Pesa Paybill where each tenant uses a unique account number, such as their unit code.
Here is the flow, step by step (the names and amounts are for example only):
- The tenant pays to your Paybill, using their account number, for example GV12.
- The payment notice arrives in your property software straight from the Paybill, within seconds.
- The system matches it to the tenant on the active lease for unit GV12.
- It applies the money to what they owe, usually the oldest balance first, and works out the new balance.
- It creates a numbered receipt with all the fields above filled in.
- It sends an SMS to the tenant's phone. A short version reads something like:
Received KES 15,750 from Jane W. for Green View Unit 12, rent Nov 2026. Ref QK83XXXXXX. Balance KES 0. Receipt RCT-0412. Thank you.
- The full receipt is kept in the tenant's record, so you or the tenant can pull it up later.
Nobody types anything. The tenant gets the receipt while they are still holding their phone, and your books are already updated.
What happens when the account number is wrong
Tenants make mistakes. Good software tries to match by the payer's phone number, or spots near-misses like "GV 12" or "gv12". Anything it cannot match goes into an "unmatched" list. Someone assigns it to the right tenant, and only then does the receipt go out. This matters: a receipt sent to the wrong person is worse than a late one.
Partial payments and overpayments
Automatic receipts handle these better than people do, because the maths is done the same way every time. For example:
- Partial payment: a tenant owing KES 28,000 pays KES 20,000. The receipt shows KES 20,000 received and KES 8,000 still owed.
- Overpayment: a tenant pays KES 30,000 against KES 28,000. The receipt shows KES 2,000 credit carried to next month.
Write your rule for applying payments into the lease, so tenants know what to expect.
Making the switch
If you are moving from a receipt book to automatic receipts:
- Set up account numbers first. Give every unit a short, unique code with letters and numbers only.
- Tell tenants the change. Send an SMS with the Paybill, their account number and a line saying "Your receipt will now come by SMS."
- Bring opening balances across. Every tenant's arrears or credit must be right on day one, or every receipt after that will be wrong.
- Check the first month closely. Compare the receipts sent with your M-Pesa statement until you trust it.
- Stop cash where you can. Cash is the one payment no system sees unless someone records it.

Questions people ask
Is an M-Pesa message enough as a rent receipt?
It proves money moved, but it does not say which month or unit the payment was for, or what balance is left. A proper rent receipt from the landlord fills those gaps.
What should a rent receipt in Kenya include?
The receipt number, date, tenant name, unit, amount paid, how it was paid with the M-Pesa or bank reference, the period it covers, the balance after payment and who issued it.
Do I have to give tenants a receipt for rent?
A tenant who asks for proof of payment should get it, and giving receipts every time protects you as much as the tenant. If a dispute reaches a tribunal or court, clear receipts are your best evidence.
Can rent receipts be sent by SMS?
Yes. Many landlords now send a short SMS receipt the moment a payment is matched, with a fuller copy available on request or in a tenant portal.
How do I number rent receipts?
Use one running sequence that never repeats or skips, such as RCT-0001, RCT-0002 and so on. Never reuse a number, even if a receipt is cancelled.
